Updating Text

All updates to linked text are made in the RTF file.

To update your linked text, follow these steps:

  1. Open your RTF file.
  2. Update your text.
  3. Save your file.

Note: All updated text is carried through your links to your DOC file unless you begin a new paragraph from a section that is not linked. For example, adding a return after a heading (headings are not linked) creates a paragraph that does not exist in the DOC file. Adding a return after a linked paragraph creates a paragraph that does exist in the DOC file.

Some text in your DOC file may be unique to that file. Cross references and some marketing material may need to be added to the DOC file. This text is not linked and will not be updated from the RTF.

To update text that is not linked in the DOC file, follow these steps:

  1. Open your DOC file.
  2. View Field Codes. This process exposes all of your links, highlighting the text that is not linked.
  3. Edit your text.
  4. Save your file.

Unlocking Links

To update the text in your DOC file, you must unlock the links.

To unlock your OLE links, follow these steps:

  1. Select Links from the Edit pull-down menu.
  2. Select all of the links in the list box.
  3. Deselect Lock.
  4. Click OK.

Notes:

  1. You may not need to update all of your links. If you have only a portion of a file you wish to update, unlock only those links that you must update. This procedure reduces the processing time for the update.
  2. Unlocking the links may remove some of your applied formatting. After updating your links, re-lock your links and check your text before producing PDFs.

To update your text in your DOC file after unlocking links, follow these steps:

  1. Open your DOC and RTF files.
  2. In the DOC file, select Select All from the Edit pull-down menu.
  3. Press the F9 key.

Your text is now updated.

Note: Updating the DOC file can take some time, depending on the number of links you have present. By opening both the source (RTF) and target (DOC) files, the update procedure completes more quickly.
