Formatting Levels
Word Offers 4 levels of Formatting
Character--the smallest unit of formatting. Any formatting you do applies only to selected text.
Paragraph Formatting--formatting applied controls the appearance of the text from one paragraph mark to the next.
Page Formatting--formatting applied to the entire document.
Section Formatting--you can divide a document into sections and then format each separately.
Character Formatting
Character formatting is what most people are familiar with. Changing the fonts, font size, and position of the Characters .
A more advanced character setting is Kerning--adjusting the space between characters--this can be useful for getting a better looking document. However, minor changes are only visible on better printers.
Copy Character Formatting
You can copy the formatting applied to specific text by using the Format Painter icon on the toolbar.
Select the text formatting you wish to duplicate, click on the Format Painter button then select the text you wish to apply that formatting to.
The formatting is "painted" on to the selected text.
Paragraph Formatting
As with character formatting you can apply paragraph formatting in a variety of ways.
To access the paragraph formatting dialog box go to Format>>Paragraph.
From this box you can change the Alignment, Indentation, and Spacing from the Indents and Spacing Tab and text flow control from the Line and Page Breaks Tab.
Line and Page Breaks
Window/Orphan Control prevents a single line of text from going on to a new page.
Keep Line Together option prevents a page break within a paragraph.
Keep with Next option prevents a page break between the paragraph and the one that follows.
Page Break Before option inserts a page break before the paragraph
Suppress Line Numbers option suppresses line numbers for the selected paragraph when line numbering is turned on in a document.
Dont Hyphenate option does just that, prevents hyphenation.
Borders on Paragraphs
Applying a border to a paragraph can provide emphasis to a certain area of your document.
To apply a border to a paragraph choose Format>>Borders and Shading.
Choose the border format you want.
Page Formatting
Page formatting is used to control the appearance of all of your pages in a particular document.
Most page options are found under the File>>Page>>Setup command.
From that menu you have 3 sub menus:
Other Features
Each of the tabs has a default button which allows you to apply your changes to all of your documents.
Background allows you to choose a background color or image to use with your document.
Section Formatting
You may also apply a certain style of formatting to just a section.
To apply formatting to a section, select the text you wish to format and then choose File>>Page Setup. Click the layout tab.
From the layout tab you can change the way a particular section looks.
Layout Options
Section Start: Controls where the section breaks.
Continuous--no page break, one section follows another.
New Column--prints the section starting at the top of a new column.
New Page--prints the section starting on a new page.
Even Page/Odd Page--starts printing onan odd or even numbered page.
Line Numbers
Line numbering can be useful if you are writing legal documents and need to refer to a certain sentence.
To apply line numbers to a section, select the text and choose the line numbering option you wish.
You need to preview your document ot see the line numbers.
Headers and Footers
One nice feature of Word is the ability to easily add headers and footers into a document.
To create a header and footer choose the View>>Header and footer command.
These elements can contain text, graphics or both.
You may also create different ones for odd and even pages or for the first page by returning to the Page Setup Layout tab.
Page Numbering
Word also make s it easy to insert page number on your documents automatically.
Choose Insert>>Page Numbers
From this dialog box you can alter the way the numbers are displayed.
It is also possible to insert Chapter numbers but you must signify to Word where your chapters begin by using heading styles.
Footnotes/Endnotes
Footnotes and Endnotes are a breeze in Word.
To use a foot, insert the cursor at the place where the number to indicate your footnote would go and choose Insert>>Footnote.
You can auto-number your footnote, or choose a custom symbol.
When you click O.K. it brings up the footnote editing box. Just enter your information here.
Editing Footnotes
To edit a footnote, open it from the View>>Footnotes command.
To move a footnote just move its reference number.
It is also possible to change your footnotes to end notes by clicking on the options button in the footnotes dialog button and then convert. It also works the other way.
