The Roles of the Executive Committee

President

  1. To maintain discipline among executive committee and librarians.
  2. To deal with cases of librarians skipping library duties frequently.
  3. In charge of chairing meetings.
  4. In charge of organizing functions and coordinating with the teachers and executive committee.
  5. To make sure that work is distributed equally among the executive committee.

Vice-President

  1. In charge of the language departments.
  2. To replace the president whenever the need arises.

Secretary

  1. To take down minutes for all meetings ( regardless of how long it is ).
  2. To be in charge of consent forms for any function.
  3. To take down the attendance for any function ( e.g. general meetings, camps, Christmas Party, etc.)
  4. To report to the president about those who often skip library duties and functions.
  5. To inform the executive committee about meetings ( date/ time/ venue)
  6. To plan the holiday duty roster.

Treasurer

  1. Responsible in collecting a monthly fund of $2.
  2. In charge of collecting funds for functions.
  3. In charge of buying greeting cards for teachers during the festive seasons.
  4. To present the account book to the president once every month ( to be signed ).
  5. Budgets for functions and activities are to be settled with teachers.
  6. To prepare the list where money can be claimed from the school.
  7. To fight for more funds for the functions.
  8. To get a first aid box.

English Department

  1. English books are to be recorded into the computer as soon as possible.
  2. To coordinate with the teacher in charge to do filings and newspaper cuttings ( so that the newspapers would not pile up).
  3. Do a monthly check-up on files ( General paper, Economics, Physics, C. Maths, F. Maths ).
  4. Recommend book collections to Mr. Yap.
  5. To be in charge of the yellow files ( check to see if all materials are inside ).

Chinese Department

  1. To coordinate with the teachers to do the newspaper cuttings ( so as to reduce the pile and keep the collection up-dated ).
  2. Do a check up on files every month ( Chinese, Accounting, Computing, Management ).
  3. To recommend useful books to Mr. Yap.
  4. To keep the books catalogue and write the index cards as soon as possible.

Malay Department

  1. To coordinate with the teachers to do the newspaper cutting ( so as to reduce the pile and keep the collection updated ).
  2. To do check up on the files every month ( Arts Faculty subject ; Geography, History Literature ).
  3. To recommend useful books to Mr. Yap.

Tamil Department

  1. To do the newspaper cuttings with the teachers ( so as to reduce the pile and keep the collection updated).
  2. To do check up on the files every month ( Tamil, Chemistry, Biology ).
  3. To catalogue the books as soon as possible.
  4. To recommend useful collections to Mr. Yap.

Editorial Department

  1. To come up with a newsletter annually.
  2. Messages, notices are to be edited by the Editorial Board before handing to the president ( esp. Tables, guidelines ).

Media Resource Department

  1. Try to fight for the chance to upgrade the facilities.
  2. To make sure that all equipment are in good conditions and ready to be use at any time.
  3. To come up with guidelines on the usage of the equipment.
  4. Clean the equipment once every two weeks ( esp. TV, hi-fi, computer and Opac ).
  5. To take photographs for all functions.

Promotional Department

  1. Take care of all the notice boards.
  2. To be in charge of posters and campaigns for the promotion of library.
  3. To be in charge of quotable quotes and creative corner.

Welfare Department

  1. To care for the well being of librarians.
  2. To try to get as much feedback from the librarians.
  3. To think of the benefits for the librarians.
  4. Water the plants on alternative days.
  5. Plan for the layout of rooms and to ensure that the red spot room is clean at all times.
  6. To ensure that all the tables and chairs have rubber studs on the legs.
  7. Decorations for any functions are to be put up and taken down when necessary,
  8. To take care of the first aid box and get a key if possible.
  9. To be in charge of the notice boards in the red spot room.
  10. To maintain the suggestion box.
