Mail Room - Release 1
General This database was originally written by request for my unit mail clerk. He had seen what I could do and asked if I could write him something. What he asked me for was something to print forwarding labels. After a few questions I discovered that he was doing allot of manual paperwork. So we sat down for a few hours and I picked his brain on what he did with all the paperwork in the mail room. I then sat down while I was on staff duty and wrote him this database. This is one of the few databases that I have written that haven’t had too many updates and rewrites. This release is very similar to the initial database that I sent to the mail room for testing. However I don’t claim to be perfect. If you find an error, let me know. Also, I designed this database so it would print with all the labels that I had on hand. If you usually use a different label, send me a sheet and I will include that label in the selection.
This database is designed for use with a mail room that does not distinguish which unit gets which box. This becomes a problem when a mail room is setup up as follows: Box 1-150 = HHC; 151-300 = A Co; 301-450 = B Co; etc. This database will not work for these mail rooms. I am working on a update that will do that, but other projects have a higher priority. Currently the database will only work for units that are setup up as follows: Box 1-450 = Unit doesn’t matter, just issue the box
The learning curve for this database is very small. So small that all the instructions you should need are written into the database itself. When the database opens you click the “Initial Setup” tab at the top of the screen. Here you will find several numbered buttons that will step you through the setup. Each button includes instructions on what to do for that section. On the main screen each of the buttons are self explanatory.
Installing Use the link below to download the file. Run it. You will be prompted to choose the installation path. If you are planning on sharing this database over a network and have a network drive available, you can install the database there. The installation creates two files. The first is the database the self. The second is the help file. I strongly recommend that you read the manual, cover to cover. Most of the questions I get are already answered in the manual. If you have the paper, print the manual.
Upgrading Use the Backup/Export button in your current release to create a current backup. Use the link below to download the file. Run it. You should install the files to the same folder that the previous version was stored in. During initial setup, use the Import button to import all the information from the backup disk. If you get ANY errors, please email me. I can't fix the problems if I don't know about them.
