Practice 1 ..................... MARGINS and PAGE BREAKS
To demonstrate the different formatting options, the practices in this chapter use a promotional file for Ivy University named
COUGAR UNIVERSITY. Start AppleWorks in the usual manner.
1) OPEN COUGAR UNIVERSITY
a. From the File menu, select the Open command. The Open dialog box is displayed.
b. Open the Hard drive you are currently working on.
c. Using the scroll arrows if necessary, locate COUGAR UNIVERSITY in the files list.
d. Double-click on COUGAR UNIVERSITY to open it.
2) CHANGE THE VIEW SCALE
a. From the View menu, select Zoom and set it to 75%.
b. Continue clicking on the Zoom until the entire first page is visible on the screen without scrolling. Note the white
space around all four sides of the text - the margins.
c. Use the vertical scroll bars to scroll through the document. Note how the margins are the same on each page.
3) CHANGE THE MARGINS
a. From the Format menu, select the Document command. The Document dialog box is shown.
b. The current margin entry for the top margin, 1 in, should already be highlighted. If it is not, double- click on the
"1" in the Top margin box to highlight the measurement.
c. Type 2.5. The old value is replaced and the top margin set to 2.5 inches.
d. Double-click on the "1" in the Bottom margin box. Type 2.0 to set the bottom margin to 2 inches.
e. Select OK to close the Document dialog box and apply the changes. The document now has a top margin of 2.5 inches and
a bottom margin of 2 inches. Note how much more room appears above and below the page guides because the margins have been
increased.
4) RESET THE MARGINS TO THE DEFAULT VALUES
a. Scroll through the document to display the last page. Note that there are now 5 pages in the document instead of 4.
Increased margins mean less text per page therefore more pages are required for the same amount of text.
b. From the Format menu, select Document to display the Document dialog box.
c. Change the Top and Bottom margins to 1 inch. Select OK.
d. Look at the Page indicator and note how there are now only 4 pages in this document. Because the margins were decreased,
AppleWorks reformatted the document accordingly. Remember, decreasing the margins increases the amount of text which may
appear on a page.
e. Click on the Zoom-in control to 100% magnification.
f. From the File menu, select Save to save the modified COUGAR UNIVERSITY.
Practice 2 .............................HEADERS and FOOTERS
In this Practice you will create a header and footer for the COUGAR UNIVERSITY document.
Start AppleWorks and open COUGAR UNIVERSITY if you have not already done so.
1 ) CREATE A HEADER
a. From the Format menu, select the Insert Header command. The document is automatically scrolled to show the top of a
page if one is not already visible. A horizontal line is displayed to indicate the header. Note the blinking cursor in the
header.
b. Type "Promotional Information". These words will now appear at the top of each page in the document.
2) CREATE A FOOTER
a. From the Format menu, select the Insert Footer command. A horizontal line has been inserted to indicate the footer.
b. Type the word "Page" and then press the space bar.
c. From the Insert menu, select the Insert Page Number command. The current page number is inserted at the cursor position.
d. In the footer, following the page number, add YOUR FULL NAME for future reference.
3) SCROLL THROUGH THE DOCUMENT
a. Use the mouse to scroll through the document so that the footer of page 1 and the header of page 2 is visible on the
screen.
b. Continue to scroll through the document until the footer of page 2 is displayed. Note how the correct page number has
been inserted in the footer.
4) SAVE THE MODIFIED FILE USING A COMMAND KEY SHORTCUT
Hold down the Command key and press the "S" key to execute the Save command and save COUGAR UNIVERSITY on disk.
The header and footer are now stored in the document.
Practice 3 ..... MANUAL and AUTOMATIC PAGE BREAKS
This Practice demonstrates automatic and manual page breaks. Start AppleWorks and open COUGAR UNIVERSITY if you have not already
done so.
1 ) LOCATE THE PAGE BREAKS
Scroll through the document, noting the location of page breaks. As pages scroll onto and off of the screen, the page
number listed in the lower-left corner of the document window changes.
2) INSERT A MANUAL PAGE BREAK
a. Scroll to the beginning of the document.
b. Place the cursor just before the "L" in the second paragraph that starts "Located in bucolic Leaf County"
c. From the Insert menu, select the Break command. Make sure that the Page button has been selected. Press OK. Text to
the right of the cursor is moved to the next page.
d. Scroll to the bottom of the document. Note how there are now 5 pages instead of the original 4.
e. Scroll to the top of the document and note the empty space in the lower portion of page 1.
3) PREVIEW THE NEW PAGE
a. From the View menu select Zoom and set your view to 50%. The entire first page can be seen on the screen.
b. Use the scroll bars to display page 2. Note the difference between page 1 and 2 - the manual page break causes much
less information to be displayed on page 1.
c. Return to 100% magnification using the View Zoom selection.
4) DELETE THE MANUAL PAGE BREAK
a. Make sure the cursor is still to the left of the first word on page 2 of the document. The cursor should be just below
the header created in Practice 2 and against the left page guide.
b. Press the Delete key. Page 1 of the document is displayed. Text that was originally displayed on page 1 is again displayed
on that page. The number of pages in the document is again 4.
c. Save COUGAR UNIVERSITY on disk.
Practice 4 .......... SELECT TEXT / UNDO EDIT
This Practice demonstrates the selection and deletion of blocks. Start AppleWorks and open COUGAR UNIVERSITY if you have not
already done so. You will select and delete different blocks of text. Undo will be used to restore a deleted block.
1 ) SELECT TEXT BY DRAGGING
a. Place the pointer in the paragraph at the beginning of the document which begins "Cougar University is one"...
b. Hold down the mouse button and drag the mouse several words to the right. A highlight is created, and each character
the pointer passes over is included in the block.
c. Release the button. The highlight remains.
2) REMOVE THE HIGHLIGHT
Click on any text. The highlight is removed.
3) SELECT BLOCKS OF TEXT
a. Place the pointer over a word and double-click the mouse button. The entire word is highlighted.
b. Place the pointer over a word and triple-click the mouse button. The entire line is highlighted.
c. Place the pointer over any text and click the mouse button four times in rapid succession. The entire paragraph is
highlighted.
4) HIGHLIGHT THE ENTIRE DOCUMENT
a. From the Edit menu, select the Select All command. The entire document is highlighted.
b. Click on any text to remove the highlight.
5) HIGHLIGHT A SENTENCE
a. Place the pointer in the paragraph at the beginning of the document which begins "Cougar University is one".
b. Click on the "S" in "School colors are" The cursor should be just to the left of the "S."
c. Place the pointer but do not click after the period at the end of the sentence. Make sure that the pointer is to the
right of the space after the period, just to the left. of "With."
6) DELETE THE HIGHLIGHTED BLOCK
Press Delete. All of the highlighted text, the entire sentence, is deleted and the highlight removed.
7) DELETE AND RESTORE THE NEXT PARAGRAPH
a. Place the cursor in the next paragraph, which begins "Located in".
b. Click the mouse four times in rapid succession to highlight the entire paragraph.
c. Press Delete to remove the paragraph.
d. From the Edit menu, select the Undo Typing command. The paragraph is restored. Click on any text to remove the highlight.
8) SAVE THE MODIFIED COUGAR UNIVERSITY
From the File menu, select the Save command. COUGAR UNIVERSITY, without the deleted sentence, is saved on disk. You may
use any of these techniques when directed to select blocks of text in future Practices.
Practice 5 ............. Single spacing, double spacing, paragraph alignment options, block formatting, and the Undo command.
This Practice demonstrates the use of single spacing and double spacing, paragraph alignment options, block formatting, and
the Undo command. You will also be printing just the first page of the document. Start AppleWorks and open COUGAR UNIVERSITY
if you have not already done so.
1 ) CENTER THE FIRST TWO LINES IN THE DOCUMENT
a. Move the l-Beam pointer over the first line of the document, the title which reads "Cougar University," and
click once to place the cursor.
b. On the Format bar, click the Center alignment button. The line is centered on the screen and the Center alignment button
is highlighted in the Format bar.
c. Place the cursor in the next line of the document (the subtitle).
d. On the Format bar, click the Center alignment button. The paragraph that contains the subtitle is centered.
2) JUSTIFY THE FIRST PARAGRAPH
a. Place the l-Beam pointer in the paragraph that begins "Cougar University is one of" and click once to display
the cursor.
b. On the Format bar, click the Justified alignment button. Note the increased space between some words.
3) DOUBLE SPACE THE SECOND PARAGRAPH
a. Place the cursor in the second paragraph, which begins "Located in".
b. From the Format menu, select the Paragraph command. The paragraph dialog box is displayed.
c. Double-click in the Line spacing option box. Type 2 to replace the current value of 1. Select OK to apply the formatting.
AppleWorks double-spaces the current paragraph and the Spacing indicator in the Format bar displays "2 li".
d. Click on the Decrease spacing button twice. The paragraph is again single-spaced and the Spacing indicator displays
1 li.
e. Click on the Increase spacing button twice to again double space the paragraph.
4) RIGHT ALIGN THE SECOND PARAGRAPH
a. The cursor should be in the paragraph which begins "Located in"
b. On the Format bar, click the Right alignment button. The paragraph is right aligned; this paragraph now has two formats
- right alignment and double spacing.
c. Note that the Right alignment button is still highlighted indicating that this is the. format of the current paragraph.
Click once in the first paragraph. The Justified alignment button is now highlighted indicating that this paragraph is justified.
5) UNDO THE LAST COMMAND
From the Edit menu, select the Undo Format command. The effect of the previous. command (right alignment) is undone, and
the paragraph is returned to its original state.
6) PREVIEW THE MODIFIED FILE
a. Click on the Zoom-out control until page 1 can be seen entirely on the screen. Note how the paragraphs are aligned
and spaced.
b. Use the Zoom-in control to display the document at 100 magnification.
7) JUSTIFY THE BODY OF THE DOCUMENT AS A BLOCK
a. Place the pointer in the paragraph which begins "Located in bucolic". Click once to place the cursor in
the paragraph.
b. Use the scroll bar to scroll to the very end of the text in the document.
c. Hold down the Shift key and click in the last paragraph that begins "We hope that" A highlighted block is
created that contains text from every paragraph but the centered titles.
d. On the Format bar, click the Justified alignment button. The document is reformatted.
e. Click anywhere in the text to remove the highlight. Scroll through the document, noting the justified paragraphs.
f. From the File menu, select the Save command. When COUGAR UNIVERSITY is next loaded, all of the body paragraphs will
be justified.
8) SAVE THE MODIFIED COUGAR UNIVERSITY
a. Save the modified file. The next time it is opened, COUGAR UNIVERSITY will have the alignments set.
7) CLOSE COUGAR UNIVERSITY
a. From the File menu, select Quit to leave AppleWorks and return to the operating System.
